1 May 2025ASHB Committee Minutes Date: Thursday 1 May 2025 Verse: Social Ethic Present : Robin Bacchus, Angela Hair, Gerrit Raichle, John Jackson Apologies: Mike Caris Last meeting of 24 April minutes: Confirmed We agreed to meetings every second Thursday of the month from 5.30pm, allowing 2 hours for the meeting. Matters arising John Jackson confirmed the card to Robyn Hewetson had been delivered to her letterbox and was signed by people at AGM AGM Minutes attached below. Michelle Vette name corrected. Confirmed positions in the branch: Chair Gerrit Raichle Treasurer Robin Bacchus Secretary Angela Hair Angela to write up Committee minutes within three days of a meeting and this is to be sent as a .doc file or WORD file with tracking changes shown. Subcommittee to convene in July to bring branch rules up to day as required. Angela to report back from Auckland meeting of NZAS with Chris Houghton Budd, attending this 9 to 11 May 2025. All Electronic Files from previous Treasurer, Kate Hartland, has been shared with Robin on Dropbox.com. He will create a new Dropbox account and add more recent files. Robin is working on an Excel sheet for room hirers that can be used to generate form letter Invoices to Hirers giving full details of their Group name, Room hired, booking dates, times, rates, booking number and total to be paid with bank account detail. He will compare room hire rates with similar venues such as Agee Concern. Robin to update Charities Commission of 2025 branch committee and pay annual fee. Robyn Hewetson had questioned if she had been on the committee for 7 years. We confirmed that she was mentioned in minutes book as attending Committee meetings from 8 May 2018. This is seven years to May 2025. NZAS Council has bimonthly zoom meeting with representative of groups around the country. This zoom meeting is at 7.30 pm. Angela to take over this role and report to the Committee in a form for sharing with local members through weekly newsletter. (attached) These meetings will be on Mondays or Thursdays to be confirmed after the meeting. Michelle Vette to confirm. Angela is going to a meeting about finances in Auckland 9 -11 May with Christopher Budd and will report back after this meeting as there will be discussion of local, national and international fees and rules and possible changes to rules may be discussed. Angela to email Andrew McGovern (Trustee Chair) to see if airfares and seminar expenses could be covered by the Trust. Rules and Constitution Review is on-going. Susan Wotherspoon is interested in helping with Rules and Constitution Review - We may form a sub-committee. Angela asked if Health Hub could be run at Centre on Thursdays 15 May and 22 May from 11am to 3pm for two weeks for koha, then report back to Robin about how it could be charged in future. Mike Lawn has overview of trust accounts and Robin to ask is he could become a branch account signatory for approving payments taking over from John Jackson who will be leaving at the end of the year. Finances No further discussion from AGM Financial Report Festivals John Jackson confirmed dates for Festival for the Dead on Saturday 7 June at 7pm, Winter Festival on Saturday 28 June at 7pm Repairs and Maintenance Request from Ēva Steinmetz-Urieli to have Art Room wall painted. Angela has sent a text to Johnny Ryan to see if Ethan can do this in his next holidays. Fire extinguisher and its sign in the Art Room to be taken off the wall and moved to the side of the book case to make it less conspicuous. Angela and Eva rehearsed taking extinguisher out of holder in preparation for use if needed. Fire extinguisher for kitchen on outside of the kitchen door.
